Arrangements for Exhibitor Access
What are the arrangements for Exhibitor Access?
Please read the guide below on how to access the NEC to set up for the show.
Access for Vehicles
In order to bring a vehicle onto the NEC site, you MUST book your vehicle entry in advance.
You do this at www.voyagecontrol.com/necbirmingham. This will be operational closer to UKGE 2026.
There is a Voyage Control end user guide you may wish to read.
This booking system discusses 'Deposit System' days. The only time the Deposit System is in place for UKGE is the Build day on Thursday 28 May 2026, from midday onwards. It will not be in operation for restock periods or the breakdown period at the end of the show.
- Vehicles up to 2 tons are allowed one hour on-site
- Vehicles over 2 tons are allowed two hours on-site
- Articulated vehicles are allowed three hours on-site
If you can't finish your unloading in the time given, your two options are:
- Break your unloading into more than one session
- forfeit your deposit.
Please note: the NEC may require overstaying vehicles to be removed, so choosing to forfeit your deposit will not guarantee an unlimited unloading period.
As this will apply to all vehicles, any couriers or partners that will be delivering goods for you must be made aware of this
Unloading
On arrival go to North 12 Carpark to gain access to the NEC.
Although you will be assigned an access door suitable to your location in the exhibition halls, you may still be some distance from your stand. Exhibitor vehicles will not be allowed inside the hall. Please bring your trolleys/sack trucks/dollies to save yourself time and effort.
The location of the vehicle entry doors is as follows. The available access doors for Hall 2 will be VE2.2 and VE2.5. The available access doors for Hall 3 will be VE3.2,and VE3.4. The available access doors for Hall 3a will be VE3.6,and VE3.8. The available access doors for Hall 4 will be VE4.1 (only until Thu 5pm after which use 3.8)
If another access door becomes available while you are waiting for your nominated door, you could be offered the option of using that as an alternative; but be aware that this will usually involve a longer walk to reach your stand.
Once you have unloaded, please take your vehicle to the free exhibitor car parks to make space for other Exhibitors. These are car Parks E1 to E4 (see the NEC site plan). This is particularly important if you require additional time to set up what you have unloaded. You can retrieve your vehicle later on to reload any surplus items
Car park Passes
How do I get an Exhibitor Car Parking pass?
We have agreed a deal with the NEC whereby each Exhibitor and Co-Exhibitor will be offered a complimentary Car Park Pass for the Exhibitor Car park.
Larger exhibitors may be given more than one pass. You will not pay for these passes.
You will collect these passes from Exhibition Services in Hall 3 on arrival.
Furthermore, you do not need to pre-register for these passes.
How many passes do I get?
- Stands that are 4 or 6 sqm receive 1 car park pass, plus one for each co-exhibitor.
- Stands between 7 and 19 sqm receive 2 car park passes, plus one for each co-exhibitor.
- Stands between 20 and 29 sqm receive 3 car park passes, plus one for each co-exhibitor.
- Stands between 30 and 39 sqm receive 4 car park passes, plus one for each co-exhibitor.
- Stands between 40 and 49 sqm receive 5 car park passes, plus one for each co-exhibitor.
- Stands between 50 and 99 sqm receive 6 car park passes, plus one for each co-exhibitor.
- Stands over 100 sqm receive 10 car park passes, plus one for each co-exhibitor.
When you pick up your passes, please ensure you collect all the passes for your stand.
Please note: If any members of your show crew are arriving later, you will need to arrange to meet them outside the exhibition halls to distribute their show passes.
